How To Dictate Instructions For Special Formatting

When dictating, it is always important to remember that the person transcribing your work takes all cues through his ears. As a result, there has to be a standard code word which signals an instruction to the transcriptionist and sets formatting instructions apart from the text which is to be transcribed.

For many years court reporters have used the word "Operator" as a means of cuing the transcriptionist. They cue the operator when to start a special type of formatting and, if necessary, when to end that formatting style.

How does this work?

Look at some of the following examples for specialized formatting. The text as it should be dictated appears in black. The transcribed text that results appears in blue.

"Operator, open parentheses. This text can be found in the hospital library. Operator, close parentheses, period."

(This text can be found in the hospital library).

"The patient was warned that, operator begin underlining, under no conditions is he to have sex without using a condom. Operator, end underlining, period."

The patient was warned that under no conditions is he to have sex without using a condom.

"This case is, operator begin block caps, W-C-A-B, operator end block caps, claim number 1235."

This case is WCAB claim number 1235.

"Operator, open italics. This patient left against medical advice. Period. Operator close italics."

This patient left against medical advice.

"This case is being referred to the, operator open inish caps, Workers ess apostrophe Compensation Appeals Board. Period, operator end inish caps. "

This case is being referred to the Workers' Compensation Appeals Board.

"The patient is, operator open bold, allergic to penicillin. Period, operator close bold."

The patient is allergic to penicillin.

"There is, operator open bold, italics, and underline, no evidence of lateral nystagmus. Period, operator close bold, italics, and underline."

There is no evidence of lateral nystagmus.

"The witness then said, operator open quotes, listen up or I'll punch your teeth out, exclamation point, operator close quotes."

The witness then said "Listen up or I'll punch your teeth out!"
