Whenever you begin a new report you should identify yourself by name to the transcriptionist and describe the type of report you are dictating. This is a safety measure to be sure that:
- You have entered your author ID number correctly
- You have entered the correct computer code for the type of report you are dictating
- The transcriptionist recognizes your voice.
A simple example:
"This is Dr. William Smith dictating an operative report on a patient named John Doe, medical record number 12 34 56....."
When you have finished dictating your report, don't just slam the phone back down in its cradle. Recap the patient's name, medical record number, and say goodbye like a professional:
"This is Dr. William Smith, finishing the operative report on a patient named John Doe, medical record number 12 34 56. Thank you for your transcription."Doing something as simple and easy as thanking a transcriptionist for working on your dictation can go a long way toward building allies rather than enemies.
